St Clair Recreation Centre
SETUP
Friday 5th December 2025
Registration: 11am for sign in, with a 11:30am start – 3pm (approximately)
Parking: Free parking is available.
Food: We will provide lunch and refreshments. If you have dietary needs, we recommend bringing your own. Cool rooms are available.
Dress: Dress comfortably and wear enclosed footwear. No high heels or open toe shoes allowed. We are dealing with a lot of boxes of toys, so feel free to bring your own gloves.
Jobs to be done at the setup:
Unpack, set up & display the children's gifts in the Toy Room.
Decoration of Toy Room.
Infrastructure Set Up - trestle tables, chairs, signage etc.
Unloading deliveries of food and other goods.
PARTY
Saturday 6th December 2025
Registration: 8:30am – 9:30am
Parking: Free parking is available
Safety Induction at the stage: 9:45 - 10am
Event duration for public: 10:30am – 2:00pm
Food: You are all welcome to have something to eat on the day. Everything is provided free and The Coffee Club will be serving coffee and tea. If you have dietary needs, we recommend bringing your own. Cool rooms are available.
Personal Items: Unfortunately, there are no cloak room facilities or secure areas to leave your personal items.
Dress: You will be given a volunteer T-shirt to wear for the day.
What happens in what area?
Job: Main Entrance
For the Main Entrance, you will be helping scan a QR Code as the children and parents/carers enter. Parents/carers will have this code on their phone or printed out. If they cannot show a code, please direct them to a CREW member. Parents/carers may request a ‘Yellow Sticker’ This is so that our photographers or videographers know that a child wearing a Yellow No Photography Sticker are not be filmed.
Job: Toy Room
For the Toy Room, you will be taking children through the Toy Room to collect their presents. As each child comes through the Toy Room, they will have a QR Code which scans only once. The child is then taken to the appropriate aged presents table.
Pink are children aged between 0-2 years; Green:3-4 years; Yellow: 5-6 years; Blue: 7-9 years and White: 10-12 years.
After they receive their presents, wish them a Merry Christmas, escort them to the exit of the Toy Room and re-join the line to take another child through.
Job: Amusement Rides
For the Amusement rides, you will be monitoring and helping children on and off the amusement rides. Be sure children use courtesy and manners and limit the time on these rides so that everyone gets a chance. Shoes may need to be removed before the child is allowed on the ride.
Job: Food Area
For the Food Area, you will be helping hand out the food. It could be drinks, chips, ice-cream, the BBQ, fruit and sandwiches. ALL are entitled to food on the day, children, parents, siblings and volunteers. Please make sure people are not too greedy. It is a sad fact that some people will take advantage of things when they are free.
Job: Volunteer & Parent Support
For this role, your job will be to look after our guests and other volunteers on the day. You are roaming to see if someone needs a break, parent, child or volunteer. You may even help with line management. Identifying where a line is heading and making sure parents and children are in the correct line. We want to make the day as stress free as possible for the children! Maybe even offering to line up for a parent, while they take a break!
If you find a lost child (or parent!), please direct them to Information located in the centre of the room.
Please do not ask for any leftover toys, these are distributed to other organisations and hospitals.
The Party finishes at 2:00pm, it will only take 30 - 40 minutes to clean up if everyone stays!
